TERMS AND CONDITIONS

General terms and conditions of entry to the UB Marathon (hereafter referred to as event)

Refund Policy

• If a participant withdraws from the race, they will not receive a refund of the entry fee.
• However, the withdrawer may substitute their entry.
• The deadline for registrations is July 31, 2026.

Prize Award

To be eligible for a prize category, an appropriate race number or bib should be worn and visible for the duration of the race.
Prize awards will be allocated to the following categories for both men and women:

1. 42.2km
2. 21.1km
3. 10km
4. Wheelchair
5. Juniors (under 20)

• All Athletes, including kids, will be awarded a finisher’s medal at the finish line.

Disqualification

• The event organizers reserve the right to refuse entry to the event or disqualify any participant or runner during the event for any reason, including but not limited to the following:

1. Failing to adhere to set rules and regulations.
2. Athletes in possession of substances that may cause injury to themselves or other athletes.
3. Submission of false information on the marathon event registration platform.
4. Exchange of race bibs during the race.

Foreign Athletes:

• As a foreign athlete, you must comply with IAAF rule 4, which may necessitate obtaining written approval from your national federation to participate in another country.

Kiddies Run

• Children under 13 years old must be accompanied by an adult during the race.

Merchandise Clause 

• Official marathon merchandise for late registrations (including but not limited to T-shirts, Medals and Race bib) is subject to availability. The Organisers reserve the right to substitute merchandise items with alternatives where necessary.
• Merchandise sizes are issued on a first-come, first-served basis. 
• No refunds or exchanges will be provided for merchandise. 
• Race packs and medals must be collected within one (1) month after the marathon. Failure to do so will result in forfeiture.

Data Protection

• Use of Personal Information: Your personal information will be used solely for the purposes of organising, managing, and conducting the UB Marathon.
• Use of Personal Information for Marketing: Please be aware that by participating, you consent to the use of your personal data for marketing purposes related to the current or future editions of the UB Marathon.
• Data Retention: Your personal information will be securely stored and maintained for a period of two (2) years from the date of the marathon. After this period, your information will be permanently deleted from our records.

Image Release:

• I grant permission for the organizers to use my name, race information, photographs, videos, and recordings of my participation free of charge.

Waiver of Liability:

By agreeing to these terms and conditions, you:

• Confirm that the information provided is accurate. 
• Affirm that you are in good health and fit to participate in the event.
• Assume responsibility for your own safety and well-being during the event.
• Agree to abide by the rules and regulations of the Event, Botswana Athletics Association, and any other relevant authority, including complying with international standards for Anti-doping tests.
• Release the organizers, sponsors, volunteers, medical personnel, and authorities from any liability for damages arising from your participation, before, during, or after the event.
