PERSONAL EXECUTIVE ASSISTANT

EMPLOYMENT OPPORTUNITY

We are looking for an experienced and diligent  Personal Executive Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner to a senior member of Faculty. S/he will work in a fast-paced, competitive and nurtuting environment on a one-to-one basis on a variety of tasks related to his cliniical and academic appointments.

Key Performance Areas

  • Monitoring emails and acting on responses according to a pre-defined algorithm agreed with the Line Manager
  • Preparing briefs, research documents and other communications on behalf of the Line Manager
  • Acting as the point of contact between the Principal Investigator and internal/external clients.
  • Conducting or preparing any research reports that the Line manager may require.
  • Managing diary and schedule meetings and appointments.
  • Organizing local and international meetings/events, including travel, visa compliance, booking accommodation and flights to a high standard and with minimum supervision
  • Taking accurate and comprehensive notes and  minutes during meetings.
  • Coordinating events and speaking engagements, local and international.
  • Producing memos, reports, presentations, and briefs.
  • Various ad hoc requests.

Qualifications and experience

  • Degree in Business Administration or any related field.
  • At least a minimum of 4 years relevant post qualification experience working as a Personal Executive Assistant.
  • Experience of organizing events attended by international colleagues.
  • Experience of playing a lead role in the completion of timesheets and similar key documents.
  • A working understanding of Good Clinical Practice.
  • Previous work experience in research environment.

Competencies

  • Knowledge of office management systems and procedures.
  • MS Office and English proficiency.
  • Outstanding organizational and time management skills.
  • Up to date with latest office gadgets and applications.
  • Ability to multitask and prioritize daily workload, including last minute requests and tasks..
  • Excellent verbal and written communications skills.
  • Discretion and confidentiality.
